What is a Resource Capacity Plan?

A Resource Capacity Plan is a strategy for assessing the availability of resources and allocating them efficiently for projects. It helps resource managers and project managers plan how to maximize their resources, and provides a framework for setting measurable goals and tracking progress. The plan should include a detailed outline of the focus areas, objectives, and KPIs that need to be addressed in order to achieve the desired outcomes.

What's included in this Resource Capacity Plan template?

  • 3 focus areas
  • 6 objectives
  • 6 projects
  • 6 KPIs

Each focus area has its own objectives, projects, and KPIs to ensure that the strategy is comprehensive and effective.

Who is the Resource Capacity Plan template for?

The Resource Capacity Plan template is designed for resource managers and project managers in all industries who want to assess their resource availability, optimize resource allocation, and plan projects more effectively. It can be used to set measurable targets, track performance, and ensure that resources are used efficiently.

1. Define clear examples of your focus areas

The first step in creating a Resource Capacity Plan is to define the focus areas. Focus areas are broad categories that represent the goals or objectives of the plan. Examples of focus areas may include improving resource availability, increasing resource efficiency, or improving resource quality.

2. Think about the objectives that could fall under that focus area

Once the focus areas are defined, the next step is to identify the objectives that need to be addressed under each focus area. Objectives are specific targets that need to be met in order to achieve the desired outcome. Examples of objectives may include optimizing resource allocation, improving resource turnover, increasing productivity, or streamlining processes.

3. Set measurable targets (KPIs) to tackle the objective

The next step is to set measurable targets, or Key Performance Indicators (KPIs), to track progress towards the objectives. KPIs should be specific, measurable, achievable, relevant, and time-bound. Examples of KPIs may include increasing resource utilization from 40% to 50%, decreasing onboarding time from 6 months to 4 months, reducing cost per unit from $5 to $2, or reducing lead time from 8 weeks to 4 weeks.

4. Implement related projects to achieve the KPIs

Once the KPIs are set, related projects must be implemented in order to achieve them. These projects should be designed to address the objectives and meet the KPIs. Examples of projects could include automating processes, standardizing workflows, tracking and measuring performance, or monitoring resource availability.
